This Support position provides administrative assistance to the Tax department.
Review and bookmark tax organizers and other work papers, login, resolve any problems, communicate with managers and scanner; perform periodic quality checks
Retrieve documents from and upload documents for clients via client portals and emails
Upload and process tax returns via SafeSend
Provide support to office manager with e-filing as well as client communications and maintaining list of e-file authorization forms
Complete electronic storage and delivery of tax returns utilizing various programs (SafeSend, Document, Portal)
Stock printer with paper before leaving each day
Organizer printing and mailing
Respond to general “Front Office” email requests; assist all team members with administrative support as necessary such as typing engagement letters and other client correspondence, faxing, copying, filing, scanning and binding
Participate in other administrative team initiatives as directed, including annual expired-file destruction project.
Provide backup support to receptionist when needed
Provide filing support to the billing manager
Assist other administrative team members and EAs with work as requested
Assist with off-site storage database and file retrieval activity
Test conference room equipment to ensure all programs needed are functional and updated
Education, Skills and Experience:
3-5 years’ administrative support office experience, preferably in a professional services organization
Minimum Job Requirements
Proficient in Microsoft Word; proven ability in Excel and Outlook.
Strong written and verbal communication skills
Ability to learn and use industry specific software as needed.
Ability to research information on the internet.
Working knowledge of all office equipment.
Typing speed – 50 wpm with maximum accuracy
Alpha/Numeric filing ability.
Work cooperatively with the Administrative team to provide quality client service.
Demonstrate efficient and effective time management skills; ability to multi-task and prioritize work with a strong attention to detail.
Ability to work independently with little supervision.
